Job Description (Roles and Responsibilities)  
The British Embassy Amman has a vacancy for a part-time (18.5 hours per week) Residence Manager, job grade Administrative Officer (AO).

The jobholder works for the Ambassador to ensure that the British Ambassador’s Residence and its estate are maintained to the highest possible standard and that the services it provides to the Ambassador’s guests and visitors serve as a showcase for British excellence.

The Residence Manager leads and oversees the Residence team, including the Ambassador’s Butler, Steward, Chef, Housekeeper, and Gardener. They also work closely with the Ambassador’s Social Secretary, Chief of Staff, and the Embassy’s Corporate Services and Security teams.

The role requires excellent interpersonal, communication, organisational, financial, and project management skills, strong customer focus, attention to detail, and effective delivery. 

 

Duties and responsibilities:

- Residence management

Planning: Ensure the effective planning and management of the Residence’s forward programme of events and maintenance and improvement projects. Plan and manage access by all visitors (internal and external) to the Residence in line with guidance provided, to ensure that this is managed appropriately and securely. Work with the Overseas Security Manager (OSM) as necessary to ensure that the contractor guard force is delivering a high quality service that is fit for purpose and in line with its contractual obligations.
Financial/Resource management: Manage Residence finances, ensuring accountability and value for money for all expenditure at the Residence (including utilities) in line with UK government guidance. Compile an annual Residence budget and spending profile at the start of each financial year, submit monthly expenditure reports, monitor/ adjust spend against profile. Monitor and control Residence inventories and assets. Oversee shopping and ensure stocks of food and drink are maintained.
Maintenance: Work with the Embassy and Residence Compound Estates Manager to ensure effective planning, implementation, and quality control of all Residence maintenance projects and annual calendar of maintenance work. Work closely with the Embassy Corporate Services Team, ensuring they deliver on time and on budget to the required specification and as agreed with the Ambassador. Work with external contractors and the Gardener to ensure the Residence gardens and amenities are maintained to a high standard, following an annual calendar of work. Check daily that all areas of the Residence and garden are working and up to standard, ensure that necessary maintenance is carried out, and works requests are submitted and implemented as necessary.
Health and Safety: Work with the Embassy’s Health and Safety Officer to ensure maintenance of hygiene and health and safety standards at the Residence in line with UK government requirements. Ensure Residence staff have the appropriate guidance, support, and training to deliver their responsibilities in this regard.
- Events planning and management

Work closely with the Ambassador’s Social Secretary to ensure effective planning and management of the Ambassador’s programme of hospitality at the Residence.
Work as necessary with organisations, companies, and any other associations that may occasionally sponsor events at the Residence, generating revenue for the Embassy where appropriate. Work with outside companies and individuals to ensure they understand and comply with Embassy guidance when involved in events at the Residence.
- Staff management

Overall supervision of the Residence staff, with direct line management responsibility for the Steward, Butler, Housekeeper, and Chef to ensure a high quality of service to guests and customers.
Hold regular meetings with all staff to ensure duties are being carried out efficiently and effectively, that staff meet their objectives, and to identify learning and development needs. Hold a weekly Residence Team staff meeting and check in with staff members daily on their individual schedules as necessary.
Work with Corporate Services to ensure appropriate training is available for Residence staff, responding to individual development needs, support continuous professional development, and to ensure accurate understanding and implementation of essential standards (especially hygiene, health, safety and security).
The above list is not exhaustive and the jobholder will be required to be flexible and take on other ad hoc tasks as required.

Essential qualifications, skills and experience  
Strong customer focus and responsive to customer needs and able to treat others with respect and courtesy regardless of work pressures.
Excellent organisational skills and attention to details. Ability to respond quickly and flexibly to meet multiple and changing priorities, including prioritising and delegating appropriately.
Relevant experience in managing projects, including finance/ budget management (accurate forecasting, timely payments, and embedding excellent value for money in all activities).
Previous staff/ team management experience, ideally for at least five (5) years.
Excellent interpersonal skills. Skilled at working within a team-oriented, collaborative environment. Able to work effectively and supportively with colleagues, both individually and in teams.
Has a high standard of personal presentation and is able to act with discretion at all times. Demonstrates courtesy and consideration in dealing with stakeholders.
Able to work on own initiative following compulsory rules and procedures.
Resourcefulness in solving problems and demonstrates good judgement and a calm manner.
Fluency in English, both written and spoken. Able to express ideas and messages clearly and concisely, both orally and in written communication.
Similar experience of working in an international or multi-cultural environment.
Strong IT skills and literacy in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams) and internet-based applications.

Experience in using Oracle-based finance and procurement management system.

Other benefits and conditions of employment  
The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of JOD 607 per month based on 18.5 hours per week.

Salary will be paid gross and you are expected to comply with your tax obligations through completion of a tax return to the local authorities. If exceptionally you are not liable to pay Jordanian tax, you will receive a net salary, which is minus the deduction of an equivalent level of local tax. Further information on this will be provided at interview if necessary.

This role is for a part-time employment, on a permanent contract. The specific working pattern for this part-time role will be agreed with the Line Manager.

Normal working hours at the Embassy are Sunday to Wednesday 08:00-15:30 and Thursday 08:00-15:00. There is flexibility in start and finish times, and over the number of days that the hours will be spread across. In this role, the jobholder will be required to be flexible in their approach to hours worked as these will be dictated by operational needs and will involve working out of hours (evening/ weekend) to support events and official visits and monitor any essential maintenance work. Time off in lieu can be arranged for additional hours.

The successful candidate will be subject to a 90-days probationary period (as appropriate). The appointment is subject to satisfactory local and UK security clearances. The selected candidate must have the right to live and work in Jordan.

Process:
