Role Purpose
To support the business operations administration function in maintaining Jordan British Council facilities, systems, processes & documentation, and handle IT inquiries & requests related. The role will contribute to the achievement of British Council corporate standards and meet relevant policies/ procedures.
To be a proactive member of the business operations team. Work as part of an efficient and effective team to support the business in achieving objectives. The role will ensure that team performance adds value to the delivery of objectives.
Main Accountabilities
Information Technology
- Provide help desk support for BC staff (hardware, software, and peripherals).
- Install and manage inventory of computers laptops, tablets and other IT peripherals.
- Work closely and coordinate on daily basis with GSD on resolving any ticket on the service now system related to IT for Jordan office
- Ensure new applications are roll-out, software’s are updated for all SBUs including but not limited to teaching centre and exams
- Order, receive and build new IT advice for the whole Jordan office
- Perform regular checks on server backups, IT devices and services inside classrooms, meetings rooms and any other area in the premises.
- Assist with the repair and disposal of computer equipment and storage of spares in line with IGRM policy and British Council standards.
Information Management IGRM
- Update the Information Asset Register twice a year and work closely with our regional IGRM lead to ensure Jordan compliance in reporting and applying policies
- Keep the IGRM champions in Jordan informed about any update and guiding them to implement the change.
- Be the go-to person for any enquiry on Information management governance
- Information management induction to all new joiners and refreshing session in all staff meetings as needed.
Risk management and emergency tools
- Conduct induction on emergency for new joiners including Solace ‘British Council Security platform’ training and installation on Smart phones.
- Manage Solace accounts including adding and removing staff as appropriate and monitor the system in emergency
- Update British Council tools of communication and Jordan Tele cascade tree with new joiners and leavers and review quarterly with SBU leads.
- Support in updating Business Continuity Plan and Crisis management plan and update relevant documents including Staff database details every six months or whenever required.
- Support and coordinate with risk and compliance regional colleagues on audit exercise in Jordan related to operation unit
About You (essential Requirements For The Role)
- The British Council systems and global processes operate in English. Excellent written and verbal proficiency in English is must (B1 level).
- Arabic at Proficiency level B1.
- BA or equivalent years of experience in IT
- At least 2 years’ experience and proven track record in general office administration and IT
- Refer to function/job family skills framework where applicable
- Experience working in a multi-cultural organisation in an international context
- Strong organisational skills with the ability to prioritise tasks and meet deadlines
- Ability to build effective relationships with employees and management to achieve the delivery of high quality and effective professional services
